Recruiting and Office Coordinator

Our team at Zap Energy is growing and looking to bring an experienced administrative professional onboard to support our recruiting and office management needs.  The Recruiting and Office Coordinator will be an integral member of the team maintaining high standards for the experience of the Zap Energy team members, candidates, and other visitors to our Everett and Mukilteo offices.  We’re looking for someone with great communication skills, high attention to detail and willingness to take on new challenges.

Responsibilities

Office management responsibilities:

  • Maintains the shared spaces of the office and collaborates with our facilities team
  • Provides front desk coverage, as needed, to greet visitors and manage deliveries
  • Assists with arrangements and logistics for visiting team members and executives
  • Arranges events within the office including catering, supplies and room setup
  • Purchases office supplies, snacks, and beverages for the team

 Recruiting responsibilities:

  • Communicates with candidates during the hiring process to confirm availability and provide process instructions
  • Coordinates scheduling of candidate interviews with internal team members and groups
  • Updates recruiting systems with status and scheduling information
  • Facilitates onsite candidate interviews to provide a positive experience
  • Performs other duties as needed or required

Qualifications

Minimum Requirements:

  • Experience interacting with candidates and other external audiences
  • Scheduling and coordination experience for interviews, meetings, and events
  • Strong business communication skills – verbal and written (English)
  • Proficiency in office platforms and applications including Microsoft Office, specifically Excel, Word, and Outlook
  • 2+ years administrative experience in a dynamic, fast-paced office environment
  • Post-secondary education; undergraduate degree or equivalent experience

  Preferred:

  • Experience working with highly technical team members in fields of engineering and science
  • Working knowledge of expense reporting and procurement systems
